Managing Administrative Aspect in Provincial Office
Providing and ensuring that administrative function in provincial office, for instance staff presence, office security, office needs and availability, logistic support, and transportation providence.
Collecting and processing timesheets from provincial staff to gain approval from Management.
Inspect health and travel cost claim from provincial staff to gain approval of compensation.
Collect, inspect, and count monthly overtime claim submitted by office driver or staff that have been approved to get transport allowance.
Conducting an efficient archiving system for all administrative and funding documents and all the companies that are related.
Conducting logistic and stock purchase for implementing program, including identifying potential supplier, making supplier database, collecting price quotation, performing bidding analysis, make and release purchase order to selected supplier, and supervise the accuracy of handover stock/service by supplier.
Prepare transactions of goods/service, agreement with contractor, agreement with sub contract, MOU agreement (especially for transaction of goods/services), and other relevant documents.
Support financial transactions related the implementation of program activities such as payment of transportation allowance, per diem, and honorarium to local facilitators or training participants or training facilitators
Any assignments regarding programs and activities that has been assigned to by Office Manager
Report and Communication
Assisting Finance Officer in designing monthly and trimester asset needs in district and provincial office.
Report asset status, inventory, and other goods periodically to Office Manager
Bachelor degree in administration or other related fields
At least 5 years of well-rounded working experience in office administration;.
Strong administrative skills with high capacity for attention to detail and organized in work.
Proficient in MS-Office especially MS-Excel and MS-Word, MS-Outlook applications.
Works well in multi-cultural environments, with high integrity and responsibilities
Good communication and interpersonal skills
Will be based in Semarang, Medan, Jambi, and Balikpapan
